Attaching Receipts in QuickBooks: A Practical Documentation Standard

The receipt can supply item details, while a memo, project reference or approval supplies context the receipt lacks. This article offers a practical internal standard; it does not mean the IRS requires an attachment on every QuickBooks transaction.

Retain enough evidence to explain the entry

A receipt can show the seller, date, items and amount, but it does not necessarily establish business purpose, authorization, deductibility or the correct accounting period. A restaurant receipt may need a business-purpose and attendee record; an equipment invoice may support an asset rather than an immediate expense. A bank statement supports payment but usually does not replace the underlying documentation.

Collect the invoice or receipt, payment evidence where needed, and the relevant contract, expense report or approval. Add a short explanation of the business purpose and client or project. Keep separate records for allocations between business and personal use. The IRS recordkeeping guidance in Publication 583 describes supporting documents and the need to substantiate entries.

Use the workflow for your QuickBooks product

QuickBooks Online

Intuit’s current U.S. guide directs users to All apps → Accounting → Receipts. Upload a supported file, then open For review. Check the extracted details and suggested matches. Match an existing transaction when appropriate; use a manual search if it exists but was not suggested. Create a new entry only after confirming it is needed and correcting its details. Add the memo and save.

QuickBooks Desktop

For eligible Desktop Plus, Accountant and Enterprise installations, Intuit documents Vendor → Receipt Management for uploading and reviewing receipts. Confirm the supported version, subscription, connected account and permissions for your installation. Follow the Desktop receipt instructions; Online and QuickBooks Self-Employed menus are not interchangeable with Desktop.

Prevent duplicate posting

A receipt, vendor bill and bank-feed transaction can all relate to one purchase. Before adding an entry, search existing records by vendor, invoice number, amount and date. The date a card charge clears may differ from the purchase date.

If an expense or card charge was already entered, attach or match the support to that entry using the product’s available controls. If an unpaid vendor bill was recorded, its later payment settles the payable; it should not create a second expense. If the purchase is inventory, equipment or a prepaid item, receipt capture does not make an immediate expense classification appropriate.

Hypothetical example: The business has already recorded a $412 credit-card purchase of shop supplies. The receipt arrives later and the card feed downloads the same charge. Connect the receipt and match the downloaded charge to the existing record. Adding two more $412 expenses would overstate the purchase by $824. A later payment of the card balance settles the card liability rather than creating another supplies expense.

Intuit distinguishes matching from categorizing a new bank transaction. Review suggested matches even when amounts agree; identical amounts can belong to different purchases.

A filename such as 2026-03-14_vendor_412.00_shop-supplies is an optional internal convention. Avoid sensitive identifiers in filenames. Where the same support relates to several entries, use clear cross-references so a reviewer can follow the transaction without posting it again.

Electronic copies, paper originals and retention

Revenue Procedure 97-22 permits electronic storage that accurately preserves complete records and supports indexing, retrieval and readable reproduction. It calls for controls against unauthorized changes and ongoing testing. Paper originals may be destroyed under that procedure only after testing establishes compliance and continued-compliance procedures are in place. Other required records remain subject to their own rules.

An attachment icon alone does not meet those conditions. Verify the image, test reopening and exporting it, and retain originals when required for legal, contractual, insurance or evidentiary purposes. Suspend disposal when an audit, dispute or other hold requires preservation.

The IRS retention guide gives a usual three-year income-tax period with longer rules for some situations, including six years for certain substantial income omissions and seven years for specified bad-debt or worthless-security claims. Unfiled or fraudulent returns can require indefinite retention. Property-basis records may be needed through the limitations period after disposal. Apply state and other requirements as well.

Protect attachments and maintain recoverable copies

Give access only to people who need the documents. Before uploading, remove unnecessary sensitive information from the working copy while preserving any legally required original in an appropriately restricted location. Intuit cautions against uploading sensitive identifiers and health information through its receipt tools.

Maintain a separate archive of source documents with an index connecting them to the books. Check what your product’s backup or export actually includes, keep protected copies independent of the active account and test restoration. No. Extracted information must be reviewed. Match the receipt to the correct existing entry, or create an entry only if one is needed. Business purpose, approval, classification and tax treatment still require review.

Can I discard paper as soon as I upload a photo?

No. First verify that the electronic record is complete and readable, that the storage system meets applicable IRS requirements, and that testing and continued-compliance procedures are in place. Retain originals required by other laws, contracts or holds.

What if the receipt and bank feed both show the purchase?

Check whether the purchase is already recorded. Match the bank activity to the existing entry or payment as appropriate, and link the receipt as support. Do not record the same purchase again simply because another document arrives.
