Tax preparation starts with the right records

A prepared return should reflect complete income information, documented deductions and credits, the correct filing status, and the reporting rules that apply to the taxpayer. For a business, preparation may also require finalized accounting reports, payroll information, asset records, owner activity, and prior-year returns.

The consultation identifies the return or filing involved, the deadline, the condition of the available records, and whether separate accounting or planning work is needed. The IRS explains that gathering records is the first step of tax preparation.

Returns and filing needs a Florida tax preparer can discuss

Individual federal returns

Preparation based on wage, investment, retirement, self-employment, rental, and other applicable information provided for the engagement. Rental owners can start with our real estate and rental property accounting guide.

Florida business filings

Coordination of applicable Florida corporate income, sales and use, reemployment, and other state filing questions within the agreed scope. Our Florida sales and use tax guide covers registration, collection and filing.

Extensions and late filings

Reviewing what can be filed by the deadline, what information remains outstanding, and whether an extension or past-due return is involved.

Amended-return questions

Evaluating a discovered omission or error and determining whether a separate amended-return engagement is appropriate.

Accounting and return coordination

Identifying when bookkeeping reports or reconciliations should be reviewed before preparation. See Tax Accountant Fort Lauderdale.

Services depend on the firm accepting the engagement, the taxpayer's facts, the records available, applicable deadlines, and the agreed scope.

How the Florida tax preparation process works

  1. Begin with the free 20-minute consultation

Describe the taxpayer, entities, filing years, income sources, current records, deadlines, and any notices or unresolved questions.

  2. Confirm the returns and scope

The firm determines whether it can accept the work and identifies the returns, services, responsibilities, timing, and fee arrangement in the engagement.

  3. Provide records securely

Submit the requested tax documents, accounting reports, prior returns, and supporting information through the method provided by the firm.

  4. Answer preparation questions

The preparer reviews the information and follows up about missing forms, inconsistent figures, filing positions, or records that need clarification.

  5. Review the completed return

Before filing, review the return, ask questions, confirm payment or refund information, and complete the required authorizations.

  6. File and retain your records

After authorized filing, keep the completed return and supporting documents. Contact the firm if a notice arrives or a later issue affects the filing.

Federal returns and Florida tax obligations are not the same

Florida does not impose an individual income tax, but Florida residents still file federal returns when required. Businesses may also have Florida corporate income, sales and use, reemployment, or other state obligations depending on their entity, activities, employees, and transactions.

The Florida Department of Revenue tax portal provides official information about taxes administered by the state. A preparation engagement identifies the returns within scope; registration, bookkeeping, payroll, sales-tax work, and other compliance services are not automatically included.

Tax preparation

Reports completed activity on the applicable federal or state return using the records supplied for the engagement.

IRS representation

Addresses notices, examinations, collections, and other federal tax matters under a separate engagement. See IRS Representation.

Choose a Florida tax preparer carefully

A tax preparer receives sensitive financial information and helps produce a return for which the taxpayer remains responsible. Ask about credentials, experience with the type of return involved, fees, secure document handling, electronic filing, and availability after filing season.

The IRS offers official guidance on choosing a tax professional, including preparer qualifications and warning signs. Peter Rudolph, CPA, provides tax preparation through CPA Firm South Florida subject to the firm accepting the engagement.

Fort Lauderdale office and virtual Florida service

Frequently asked questions

Does Florida have an individual state income tax return?

Florida does not impose an individual income tax, so Florida residents do not file a Florida individual income tax return. Federal filing obligations still apply, and a taxpayer may have business, multistate, or other state filing requirements depending on the facts.

Can a Florida tax preparer work with clients virtually?

Yes. CPA Firm South Florida offers virtual appointments when appropriate for the engagement. The firm confirms how documents will be exchanged securely, how questions will be handled, and which signatures or authorizations are required.

What if the bookkeeping is incomplete?

The consultation can identify whether accounting records need review or cleanup before preparation. Bookkeeping entry, reconciliation, cleanup, or reconstruction is not automatically included and may require a separate engagement. See the Tax Accountant Fort Lauderdale page for more information.

Does tax preparation include planning or responding to an IRS notice?

Not automatically. Forward-looking tax planning and IRS representation are separate services that may require their own scope and engagement. Tell the firm about a decision, deadline, or notice during the consultation so the appropriate service can be identified.

How early should I contact the firm?

Contact the firm as early as practical, especially when business accounting, missing records, multiple entities, prior-year filings, or a deadline is involved. Acceptance and timing depend on the workload, records, complexity, and services required.
